Whether it’s the game balls, the team’s water bottles, or the all important half-time orange slices, a game just isn’t complete without the right ‘Stuff’ being brought to the game.
RosterBot Pro teams can assign snacks and gear with RosterBot, so everyone on your team will know exactly who’s turn it is to bring the most important equipment to the next game, or who’s job it is to bring the post-game goodies.
Once created, every event on your team's schedule will have this feature enabled.
Creating Refreshments and Gear
Firstly, your team’s manager will need to create the ‘Gear and Refreshments’ your team needs for your event.
- Find the Event Stuff button on the left side Navigation bar
- Create the ‘Gear and Refreshments’ your team needs, along with a description of what it entails.
- For example: Water Bottles & Snacks – Bring a cooler with water bottles and some fruit or energy bars.
This will explain to the player on the team exactly what they are expected to bring when they receive their email notification from RosterBot.
Assigning Gear & Refreshments
Once players begin signing-in for the next event, your manager can begin assigning ‘Refreshments & Gear ’ to certain players to bring for this event.
To do this, head to the Event page and click the ‘Gear’ icon in the Action column. This will reveal the section seen below, which allows for the manager to assign what to bring.
In the example above, Bill can be assigned the Water Bottles & Snacks we created earlier. Once Bill has been assigned Water Bottles and Snacks, he will be notified via a message from RosterBot.
The team will also see Bill is bringing Water Bottles and Snacks in the Activity Log on the right side of the Event page:
And in the Event Summary, there is a section labelled 'Refreshments & Gear'. By clicking the icon with the two heads, you will see who's been assigned to bring this item.
Auto-Assigning Refreshments & Gear
You can let RosterBot decide who is supposed to bring your Refreshments & Gear too!
RosterBot will select a player on your who's turn it is to be assigned your Refreshments & Gear for each event and automatically inform them what they are supposed to bring.
Just like we did earlier, you will want to start at the Refreshments & Gear page and create your items:
You will notice there are two new fields:
Automatically Assign: This will allow RosterBot to determine who will be bringing the 'Post Game Snacks' for each event.
In the example above, RosterBot will assign Post Game Snacks to 1 player (who is checked-in), 5 days before the event.
You can also choose to make only Full-time players, only Spares, or both applied to this feature. It's also possible to segment the assigner by season.
*RosterBot will assign the item to only players who have not brought this item more than anyone else on the team. This prevents the same person being selected over and over again.
Volunteer: RosterBot will allow for someone on the team to sign-up to bring Post-Game Snacks too. If someone would like to bring this item for a game, they will have the opportunity to sign-up for this item up to 5 days before the event. At 5 days before, RosterBot will automatically assign the item to someone on the team.
Lastly, after your event, RosterBot will ask in the Post-Event Report if whomever was assigned to bring Post-Game Snacks actually did bring them. This is to ensure that whomever was assigned them, actually followed-through and brought them. That way we can be sure that RosterBot isn't unfairly selecting the wrong people.
